Purpose:
The Accounts Officer/ Office Manager shall function as Project Coordinator type of person in Sindh, who
will also be second layer of coordination person with the IRC, MSL, Consultant team and the client, i.e.,
by the instruction from the Team Leader, Deputy Team Leader, MSL and IRC to coordinate with the
client, organize meetings with the clients and various stakeholder etc.
- Job Responsibilities:
Assist the team of experts on any kind of logistical issues on a priority basis with the help of other
office/technical support staff; - Ensure the assigned works to the office/technical support staff are performed on time with the
required quality; - Provide all logistic support to the consultant team including, hotel reservation, air ticketing, visa,
airport pick-up & drop-off, field trip, etc.; - Organize team meetings, both physically and virtually, and handle the online platforms such as
ZOOM during the online meetings; - Organize necessary logistics arrangements for foreign consultants;
- Ensure the international and national consultants have the logistical facilities during the field mission
in Karachi or outside Karachi even in the weekends, i.e., vehicle support, office premises, support
services, etc. - Maintain discipline and proper administrative support for the project;
- Supervise and handle the support services provided by the Assistant Office Manager/Secretary,
Computer Operator/Office Assistant, Office Caretaker/ Messenger/ Guard, Drivers. - Deal with the Financial and audit matters of this project as per MSL and IRC’s policy;
- Grievance handling.
- Manage vehicle fleet and maintenance of project vehicles.
- Ensure optimum cost reduction.
- Supervise requisition & stock register for purchase of stationeries, office & kitchen supplies.
- Ensure on time delivery of documents, letters or records to the concerned parties.
- Maintain requisition for printing, spiral binding, laminating of required documents.
Arrange for workshops or similar events, handling budgets for it and arrange all logistic supports for
these events. - Ensure on time payment of utility bills and other authorities as per the guide line.
- Develop team spirit and motivated work force.
- Guide Assistant Office
- Manager/Secretary to ensure safety & security of consultants and employees,
office premises and project assets. - Develop and maintain good relationship with all government regulatory authorities, involved in
providing the required permissions. - Take initiative to expedite activities related to file movement in govt. offices.

Reporting Line:
As this is a project-based position, all the office/technical support staff will be responsible to report to
the Team Leader and Deputy Team Leader of the project about any day-to-day activity related to TTAF.
Therefore, the Accounts Officer/ Office Manager will report to the Team Leader and Deputy Team Leader
as well as take instructions from them as the first chain of command. The movement of the incumbent
during the weekdays and office hour, any leave, etc. should be done with prior approval of the Team
Leader and Deputy Team Leader (in absence of the Team Leader at the project office).
The Accounts Officer/ Office Manager will also report to the Leadership and Management Team of MSL
and IRC (only related to the TTAF activities) as the second layer of reporting. The following organogram
can be reviewed to understand the hierarchy of the project.
Remuneration Package: PKR 106,000 monthly Tax deduction from the remuneration: As per the local law
Duration of the employment: August 2023 – July 2025

Reporting to: Accounts Officer/ Office Manager of TTAF
Education: Bachelor’s in Computer Science
Experience: 3 to 5 years’ Experience in office administration, data entry and IT Management
Location: Karachi
Purpose:
The Computer Operator shall be responsible for all sort of IT support at the office, during the meetings
(inside or outside of office), etc. to all the TTAF consultants, TTAF staffs, and Leadership and
Management Team of MSL and IRC (only related to the TTAF activities). She/he will support the Accounts
Officer/ Office Manager and also serves as receptionist to receive the visitors and basic front desk tasks.
The Computer Operator will assist the Accounts Officer/ Office Manager to plan, implement & keep
record of all office administrative activities and give proper back up support for smooth office
operations. She/he will also report to the Team Leader and Deputy Team Leader of TTAF Project.
Job Responsibilities:
Database Development
- Enter all trainee’s information into the Database or Expert CVs as and when required.
- Regularly back-up, update, and upgrade the trainees’ database.
- Maintain regular contact with the consultants and Management Team of MSL and IRC (only related to the TTAF activities), as required.
- Handle the online/ offline database for all the project data.
- Create a backup on hard and soft drive, as required.
- Improve and maintain capacity of good typing speed for data entry of project related information.
- Do basic graphic designs to create project related information posts.
IT Support
- Providing all kind of IT related support to all the consultants and staffs of the project.
- Managing & procuring all kind of computer network and devices.
- Keeping equipment inventory up to date.
- Assisting consultants and staff for their official email accounts setup.
- Arrange/ maintain Basic Network and Internet troubleshooting including computer troubleshooting.
- Provide IT support during the online meetings from the conference room
- Provide document processing support through MS office, excel and power point and formatting
of reports etc.
Admin and Logistics
- Responsible to take role of front desk tasks (Receptionist) to receive visitors and during official
meetings. - Providing all kind of admin and logistic support to project consultants and staff.
- Maintaining of all vehicle related papers
- Providing all kind of air travel and hotel booking related support
- Computer composing time sheets of all consultants of the project.
- Any task assigned by the Accounts Officer/ Office Manager.
- Establish good and considerate working relationships with all staff in the organization in a way
